1. Introduction

LaborProof ("we," "us," or "our") is operated by LaborProof LLC. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our platform at laborproof.com, including all associated features, dashboards, vendor upload portals, and email communications.

2. Information We Collect

2.1 Information You Provide Directly

  • Full name and company name
  • Email address and password
  • Phone number
  • Industry, team size, and subcontractor volume
  • Current COI tracking method (collected during onboarding)
  • Payment information (processed securely by Stripe — we never store raw card data)

2.2 Subcontractor Information You Enter

As a contractor using LaborProof, you may enter information about your subcontractors including:

  • Company name
  • Contact name, email address, and phone number
  • Insurance document files and expiration dates
  • Notes associated with subcontractor profiles

2.3 Documents Uploaded to the Platform

  • Certificates of Insurance (COI)
  • Workers Compensation certificates
  • General Liability certificates
  • Additional Insured Endorsements

Documents are uploaded by both contractors (account holders) and subcontractors (via magic link) and stored in encrypted private cloud storage.

2.4 Information Collected Automatically

  • IP address and browser type
  • Device type and operating system
  • Pages visited and features used
  • Session duration and click behavior
  • Cookies and similar tracking technologies

2.5 Information From Third Parties

  • Stripe: Payment status, subscription tier, and billing history
  • Google (if used): Name and email address if you sign in with Google OAuth

3. How We Use Your Information

We use collected information to:

  • Create and manage your LaborProof account
  • Operate and maintain the platform and all features
  • Send automated expiration reminder emails (30-day, 7-day, and expired alerts)
  • Send document request emails to subcontractors on your behalf
  • Process payments and manage your subscription via Stripe
  • Enforce plan limits (Starter: 40 subs / Standard: 100 subs / Pro: unlimited)
  • Generate unique magic link upload tokens for subcontractor document collection
  • Compute and display compliance status across your subcontractor network
  • Respond to support requests sent to support@laborproof.com
  • Improve platform performance, features, and user experience
  • Send transactional emails related to your account and billing
  • Comply with applicable laws and regulations

We do not sell your personal information to third parties. We do not use your data for advertising purposes.

4. How We Share Your Information

We do not sell, rent, or trade your personal information. We may share information only in the following circumstances:

4.1 Service Providers

We share data with trusted third-party providers who help us operate the platform:

  • Supabase — database, file storage, and authentication infrastructure
  • Stripe — payment processing and subscription management
  • Resend / Lovable Emails — transactional email delivery
  • Cloudflare — DNS management and network security

These providers are contractually obligated to protect your data and may only use it to provide services to us.

4.2 Subcontractor Communications

When you send a document request to a subcontractor, their name and email address are used solely to deliver that request. Subcontractors do not receive access to your account, dashboard, or any other contractor's data.

4.3 Legal Requirements

We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe disclosure is necessary to protect the rights, property, or safety of LaborProof, our users, or the public.

4.4 Business Transfers

In the event of a merger, acquisition, or sale of all or part of our business, your information may be transferred as part of that transaction. We will notify you via email prior to your data being transferred or becoming subject to a different privacy policy.

5. Data Storage and Security

  • All data is stored on Supabase infrastructure with row-level security (RLS) enforced — meaning each user can only access their own data
  • Documents are stored in private encrypted cloud storage and are only accessible via time-limited signed URLs
  • Passwords are hashed and never stored in plain text
  • Payment data is handled entirely by Stripe and never stored on our servers
  • Magic link upload tokens are unique per subcontractor and are not publicly guessable
  • We use HTTPS encryption across the entire platform

While we implement strong security measures, no system is 100% immune to breach. We encourage you to use a strong unique password and to contact us immediately at support@laborproof.com if you suspect unauthorized access to your account.

6. Data Retention

  • Active accounts: We retain your data for as long as your account is active
  • Cancelled accounts: Data is retained for 90 days after cancellation, then permanently deleted
  • Documents: Insurance documents uploaded to the platform are retained until you delete them or your account is permanently deleted
  • Reminder logs: Stored in our reminders table for deduplication purposes and deleted after 12 months
  • Subcontractor data: Deleted with your account or upon your explicit request

You may request deletion of your data at any time by contacting support@laborproof.com.

7. Subcontractor Rights and Data

Subcontractors who upload documents via magic link are not account holders. Their data (name, email, uploaded documents) is entered and managed by the contractor who added them to the platform.

If you are a subcontractor and wish to know what information has been stored about you, request correction or deletion of your information, or opt out of document request emails, contact us at support@laborproof.com with your name, company name, and the contractor company that added you. We will respond within 10 business days.

8. Cookies and Tracking

We use cookies and similar technologies to maintain your login session, remember your preferences, and analyze platform usage and performance.

You may disable cookies in your browser settings, but doing so may affect your ability to use certain features of LaborProof. We do not use third-party advertising cookies or sell cookie data.

9. Children's Privacy

LaborProof is intended for use by business professionals and is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, contact us at support@laborproof.com and we will delete it promptly.

10. Your Rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information
  • Object to or restrict processing of your information
  • Request a portable copy of your data
  • Withdraw consent at any time where processing is based on consent

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top of this page and notify active users via email. Continued use of LaborProof after changes are posted constitutes your acceptance of the updated policy.
